Job Description

Summary

Job description: SECRETARY.

Our client, SKS PROPERTY MANAGEMENT LTD, has experienced great growth in its commercial activities.
SKS PROPERTY MANAGEMENT LTD is a well-established family-owned business with extensive experience in the property industry. Our client is looking for a Secretary to provide clerical and administrative support while optimising office productivity operations. As a secretary, you’ll help colleagues and bosses arrange and distribute information. The work is entirely office-based, and travel outside the office is extremely infrequent. The ideal applicant will be the primary point of contact for any questions, requests, or difficulties, and will be an essential member of the company’s workforce. The task may impose deadlines unexpectedly, necessitating flexibility and reprioritization of workload because emergency work can occur at any time. The essence of the work is to support colleagues and projects rather than taking the lead on initiatives yourself, and you will be in frequent communication with the company’s Director. Overseas candidates are welcome to apply, as sponsorships may be available for deserving candidates.

Roles and Responsibilities

• Answer phone calls and redirect them as needed.

• Manage the daily/weekly/monthly agenda and schedule new meetings and appointments.

• Prepare and distribute correspondence, memos, and forms.

• Maintain and update contact information for workers, customers, suppliers, and external partners.

• Prioritise, support, and facilitate work, and submit frequent reports.

• Managing the accounts and ensuring that payments are received from clients.

• Keep the team up to date on the newest property-related rules and regulations.

• Communicate with the accountants as necessary.

• Regularly check the amounts of office supplies and place suitable orders.

• Work flexibility is necessary, as deadlines may be imposed due to urgent work.

• Update the CRM system to facilitate client workflow and activity logs.

• Make travel arrangements where possible.

• Document expenses and provide reports.

• Perform occasional receptionist tasks.

Requirements and Talents

• Proven job experience as a Secretary or Administrative Assistant with excellent organisational skills.

• Ability to absorb and comprehend directions.

• The ability to deal with pressure and competing demands, as well as prioritise tasks and workload.

• Business or management experience, presenting abilities, and attention to detail.

• Strong oral and written communication skills, as well as a polite and confident telephone demeanour.

• Ability to work as a team.

• Reliability and honesty.

• Professionalism, caution, and respect for confidentiality.

• Ability to plan your own work, take initiative, and fulfil deadlines.

• Experience with office organisation and optimisation approaches.

• Property laws and restrictions.

• Excellent multitasking and time management skills.

• Secretarial studies.

• Excellent writing and vocal communication abilities.

• Integrity and professionalism.

• Proficient with Microsoft Office.

• High school diploma, degree, or HND in secretarial studies.

Salary: £26650-£30500, based on experience.
Location: Leicester, United Kingdom.
Working hours: A normal working week is 40 hours, with working days ranging from 10 a.m. to 6 p.m., Monday through Friday. Flexi-time is occasionally provided, depending on the organisation.
