About your new job
Through a variety of management, administrative, financial, and health and safety responsibilities, the office manager is in charge of ensuring the smooth operation of the workplace.
In addition to being in charge of carrying out all of the aforementioned duties, the role’s daily goal is to make sure the office runs smoothly. A team will need to be managed and scheduled in order to meet the various loads that are needed during the day.
In charge of managing the site’s health and safety
- Collaborating closely with the head of facilities to guarantee that the site’s health and safety is monitored and adhered to
- Conduct risk analyses
- Attend the quarterly sessions on health and safety (you might have to travel).
Budgets
- Budgets for all areas under responsibility should be created in close collaboration with the Head of Facilities, who will have final say over approval.
- The Head of Facilities is the second line of approval for all expenditures.
Legal conformance
- Assure statutory compliance in all relevant areas that fall within your purview.
Service Criteria
- Develop and agree upon service levels and provision in all areas of responsibility in collaboration with the ROH and the Head of Facilities.
Methods and Techniques
- Create, put into place, and maintain documented procedures in collaboration with the Head of Facilities to ensure that all areas of responsibility receive the agreed-upon service levels.
Main Point of Contact/Help Desk
- Head of Facilities is the primary point of contact and issue manager for any issues brought up by the locations that fall under their purview.
Reporting
- To have a monthly meeting with the facilities head. Reports, date, and agenda will be decided upon.

Procurements
- Daily management and administration of contracts, with suppliers communicating with the contracts manager when needed
- Before placing an order, requests for extra purchases outside of pre-existing contracts must be discussed and approved by the head of facilities.
Property
- handling daily concerns with the property management agent(s) while making sure the Head of Facilities, who is in charge of all properties overall, is kept fully informed.
Some examples, while not all-inclusive:
- Collaborate directly with the site ROH to fulfil service agreements and oversee daily operations of the location, such as housekeeping and office health and safety management.
- Establish and uphold an office setting that is consistent with our mission and core values.
- Make the best use of the space in each office.
- Establishing and preserving site security.
- Part in organising a calamity.
Service delivery to Procurement of:
- Receiving goods
Maintenance of the property
- The initial point of contact for problems
- Communicate with the Facilities Head to decide on a resolution path.

About You
The following qualifications and experience will be held by the office manager: –
- familiarity with the creation, administration, and use of ICT packages, such as Microsoft Office, and administrative systems
