JOB SUMMARY

 

The postholder will accomplish this by delivering excellent customer service and administrative assistance to the team. This will entail answering general questions from colleagues and members of the public, either in person or over the phone, as well as managing administrative systems and processes.The post holder will provide general coordination of the service/department to ensure that it runs smoothly. This involves maintaining confidentiality, assisting coworkers, and pursuing solutions to consumer inquiries.

To ensure service delivery, the post holder will be required to work an extended hour contract from 7 a.m. to 7 p.m. seven days a week, on a rota basis. Working on bank holidays is essential.

The position holder will constantly provide a “client-focused” service that encourages excellent customer service and productive working relationships.

Main responsibilities of the job

1. Keeping effective systems for customer records2. Ensure a safe working environment as directed by your management.3. Cover additional teams/services as needed, which may entail working on different sites.4. The SPA Call Handler Administrator must have excellent communication abilities, both written and vocal.5. The SPA Call Handler Administrator enters accurate pertinent information from referrals, either written or electronically, into the System One database. To ensure the referral form is accurate and contains all required information. To detect any gaps and actively seek further information prior to processing the referral, so that all clients receive appropriate care within each assigned service in a timely way.6. The SPA Call Handler Administrator assesses and processes the referral, allocating it to the most appropriate service on system one based on the information received, while adhering to departmental procedures and the system one process maps.7. The SPA Call Handler Administrator cancels and reschedules appointments on system one, as well as logs client feedback as needed.

Probation Period

This position will be subject to a probation period. Internal applicants are excluded from the probationary term (unless you are currently on probation or are a bank employee).

High Cost Area Supplement – London

This position additionally includes a 5% High Cost Area Supplement (minimum payment of £1,192 and maximum payment of £2,011 per year, pro rata).
