We are looking for a highly organised and responsible Personal Assistant to assist Professor Claire Smith, Deputy Pro-Vice Chancellor Education and Innovation. Your duties will involve calendar management, meeting and appointment coordination, travel and lodging arrangements, and communication and report preparation. You will be the primary point of contact for phone calls and emails, exhibiting great communication skills and a professional telephone demeanour.

Collaboration is key to your role, as you will communicate with colleagues in the VCO and Executive Assistants across the university. You will work both alone and as a member of the VCO Team. You will have the chance to attend meetings, record minutes, and follow up on action items to assist the Deputy Pro-Vice Chancellor in attaining the University’s strategic goals.

This role provides a unique chance to collaborate closely with senior executives and establish ties throughout the University and with external stakeholders. The ideal candidate will have a solid secondary education, as well as adequate professional training and qualifications or related work experience. You should have great organisational and diary management abilities, as well as high levels of flexibility and adaptation, and impeccable written and verbal communication and presentation skills.

You should be able to multitask and prioritise a constantly changing workload, work under pressure and meet deadlines, and make sound decisions. You should be able to work independently, determine which emails, reports, and phone calls need to be escalated and which do not, and engage with and present to senior officials.

For informal queries, please contact Marta Appleyard, Senior Executive Advisor in the VCO, at M.Appleyard@sussex.ac.uk.

Please keep in mind that work for the University must be completed in the United Kingdom.
