Job Overview
We are seeking a dedicated Budget Analyst Research Administrator to join our Economics, Finance, and Research Administration team. In this role, you’ll support faculty, staff, researchers, and students with financial operations, including planning, budget analysis, and grant management. Reporting to the Associate Director of Financial and Research Administration (ADRFA), you’ll play a critical role in the department by managing various financial tasks.
Key Responsibilities
Financial Management and Budget Analysis
- Monitor and reconcile all faculty-related funds (Federal, Non-Federal, internal research funds, and gifts).
- Analyze spending trends and recommend fund management strategies.
- Ensure up-to-date fund balance information and provide detailed financial reports to faculty.
- Assist in the preparation of annual budgets and multi-year financial forecasts.
- Prepare and review monthly financial reports with faculty to address discrepancies.
Accounts Payable/Receivable
- Manage journal transfers and ensure the reconciliation of financial discrepancies.
- Facilitate supplier setup and wire payments in the procurement system.
- Assist with account payables and receivables while maintaining accurate records.
Grants Management
- Oversee the entire lifecycle of assigned grants.
- Provide pre-award support for proposal development and post-award management.
- Collaborate with the Office for Sponsored Programs and Research Administration Services for seamless grant administration.
- Monitor grant expenses and provide monthly updates on projections and expenditures.
Contract and Agreement Administration
- Assist in preparing and managing contractual agreements, including Service and Billing Agreements.
- Maintain accurate records for agreements, ensuring proper billing, execution, and close-out.
Compliance and Training
- Ensure compliance with university financial policies, such as Uniform Guidance and Sponsored Expenditures Guidelines.
- Provide expert guidance and training on fiscal policies, procedures, and systems.
Additional Support
- Act as a resource for financial queries and budget-related issues.
- Train and mentor interns, assign duties, and review their work.
- Contribute to team goals and act as a backup for other team members.
Basic Qualifications
- Minimum of 3 years of experience in finance, accounting, or administration.
- Advanced skills in Microsoft Excel.
- Experience managing both pre-award and post-award grant responsibilities.
- Ability to work independently, manage multiple tasks, and maintain discretion with confidential information.
- Strong collaboration and organizational skills with the ability to handle shifting priorities.
Additional Skills and Qualifications
- Bachelor’s degree in finance, business administration, accounting, or a related field preferred.
- Experience with financial systems, data query tools, and budget management.
- Working knowledge of financial modeling and accounting principles.

This is a hybrid role based in Massachusetts. Eligible candidates must reside in one of Harvard’s registered payroll states: Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, or California (exempt positions only).
