Key Responsibilities:

  • Provide administrative support to team members, offering guidance and recommendations for professional services such as occupational health and counseling.
  • Oversee and manage the department’s stationery and non-stock items, ensuring proper budget adherence and stock levels.
  • Coordinate maintenance work within the department and ensure timely resolutions for any issues.
  • Process confidential patient documentation, liaising with patients, healthcare professionals, and external agencies.
  • Uphold and set expectations for World Class Care customer service, ensuring staff adhere to high standards.
  • Address concerns or complaints promptly, escalating them to the appropriate manager when necessary.
  • Conduct investigations related to performance and conduct in line with Trust policies.
  • Ensure the team complies with mandatory training requirements and that they are competent in their roles, including using necessary electronic systems.
  • Manage agency and bank staff time sheets, ensuring their use is cost-effective.

Person Specification:

Essential Criteria:

  • Demonstrable commitment to the Royal Free World Class Care Values.
  • Proven outpatient administration experience.
  • Familiarity with systems such as Cerner, eRS, and Call Centre systems.
  • Understanding of NHS targets, particularly with respect to waiting times.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with the ability to prioritize workloads and work under pressure.
  • Commitment to patient confidentiality.

Desirable Criteria:

  • Experience in a team leadership role.
  • Previous experience working in the NHS.
  • Proficiency with Microsoft Office packages.
